Transcription Process
Once the dictation has been received, the voice is routed to one of our transcriptionists via our in-house production system in wav form. After completion of this process, and random quality sampling the reports are sent automatically to the client. All work is continuously monitored using sophisticated software tools and management will take proactive steps to ensure work is returned to the client on time and at the right quality.
Line Counting
HealthOffice uses an in-house designed line counting program, which assures a verifiable 65-keystroke line in line with AAMT guidelines. Sample documents can be submitted and counted with our line counting software and which can then be compared to line counts from clients internal systems or suppliers.
Coverage/Turnaround Time
Temporary and scheduled coverage are all welcome. Turnaround is based on client needs for scheduled accounts, and variations can be accommodated according to an agreed plan. Currents turn around times vary from as little as 4 hours to 15 hours.
Clients are able to dictate into our web-based system, powered by MedRemote, by phone over an 800 number, directly through your PC microphone or a digital hand held recorder. All transfer procedures are HIPAA compliant. If other delivery mechanisms required, these can be accommodated.
Storage and Retrievability
HealthOffice currently archives all transcribed reports for a minimum of 2 years and all voice files are only deleted from our storage systems after six months. These time parameters can be amended according customer requirements. Stored records can be resent on demand
